Every vendor pitching hotel sales software puts "data accuracy" near the top of the value list. Every operator nods. Then the team goes back to running pace reports off a spreadsheet that pulls from a PMS export that may or may not include the manual rate adjustments the front office made yesterday.
The actual problem isn't that hotel sales data is inaccurate. It's that the team can't agree on what the data should mean, the capture process leaks, and nobody trusts the report enough to act on it without a manual cross-check. Three problems that look like one.
This post separates them, because the fix for each is different.
Problem one: definition drift
The most common cause of "the data is wrong" is that the data is fine but two people are computing the metric differently. Group ADR including comp rooms vs. excluding them. RevPAR with attrition fees vs. without. Pace at booked vs. booked-plus-tentative. The number isn't wrong; the agreement isn't there.

Problem two: capture leaks
The data the team has is accurate. The data they don't have is the problem. Lost-deal reasons captured at year-end instead of the day the deal lost. Account-team activity logged on Friday for the whole week. Comp set rate moves noticed informally and never recorded. The aggregate report is missing the inputs that would make it actionable.
How capture leaks show up. The pipeline review spends 20 minutes asking "wait, did we lose that to rate or to dates?" because the loss reason wasn't captured at loss time. The CRM shows 12 activities for a salesperson over a week, but the salesperson worked 30. The retro on the lost RFP focuses on the proposal rather than the response time because nobody logged when the inquiry actually came in.
The fix is workflow, not technology. The CRM can be perfect. If the workflow doesn't make capture the path of least resistance, the data will be incomplete. Make the loss reason a required field at the moment the deal closes. Make activity capture happen in the natural flow (forwarding an email to a logging address, swiping right on a mobile call) rather than as a separate end-of-week task. The pattern is universal: the easier the capture, the more complete the data.
Problem three: report distrust
Even when the data is correct and the capture is complete, the team doesn't believe the report. They run a manual cross-check before any meeting. They keep their own spreadsheet that they actually trust. They use the official report as a starting point and override it from memory.
Distrust is usually rational. The report has been wrong before. It misclassified a corporate account as transient. It double-counted a group block. The team learned to verify, and verification became the workflow. Now even when the underlying systems are clean, the cross-check stays.
The fix. Show the data lineage. When the dashboard shows group pace at $189, the salesperson should be one click from "where did that number come from": what filters, what date range, what segment definitions, what inclusions and exclusions. What "accurate data" usually means in practice
For most hotel sales teams, "we need accurate data" is shorthand for "we need to trust the report." The accuracy itself is downstream. The trust depends on three things: shared definitions, complete capture, and visible lineage. None of those are technology-first problems.
That said, the technology has to support all three. A CRM where activity capture takes seven clicks is a CRM where capture leaks. A BI tool that hides the underlying filter logic is a tool that breeds distrust. The features matter; they're just not the whole story.

The data dictionary lives in the CRM, gets reviewed quarterly, and changes are dated. Anyone on the team can pull it up in 10 seconds.
The Friday end-of-week capture habit gets killed. Activity, loss reasons, next-step notes all get captured at the moment, not on Friday. If your CRM workflow doesn't allow this, that's the actual project.
The pipeline review starts with two minutes of "any anomalies in the data?" before it gets to the deals themselves. Anomalies trigger an audit; the audit usually finds a definition or capture issue, which gets fixed by the next week.
The bottom line
Accurate data is a multi-part problem dressed up as a single one. The fix for definition drift is a dictionary. The fix for capture leaks is workflow design. The fix for report distrust is lineage transparency. Skipping any one of these and trying to fix the others doesn't work, the team will find a new reason to distrust the report.
